Agree the technical and operational boundaries before treating a demo as a production installation.
Define the pilot scope.
Choose representative reports, an approved datasource, expected readers, and target output formats. Agree what a successful evaluation looks like.
Check the environment.
Review the server operating system, application runtime, browser renderer, fonts, reverse proxy, HTTPS, DNS, storage, and restricted database connectivity.
Assign operational ownership.
Decide who manages users, renewal, monitoring, backups, external database recovery, upgrades, and incident response. Workspace backups do not replace backups of external databases or environment secrets.
Record acceptance before rollout.
Test administrator, designer, and viewer workflows separately. Restore into an isolated environment. Confirm actual delivery if SMTP is offered, and agree licensing and support arrangements.
